2.Information We May Collect
Depending upon how you interact with us, we may collect information including:

3.Where We Obtain Your Information
We may receive personal information directly from you, from another person making a reservation on your behalf, through our website or booking engine, from online travel agents and booking platforms, through our property-management or reservation systems, from payment service providers, through communications, from CCTV, or where permitted by law from authorities, advisers or other organisations.
4.Why We Use Personal Information
We may use personal information to administer reservations, provide accommodation and guest services, communicate with guests, process payments and refunds, manage amendments and cancellations, respond to enquiries, accommodate reasonable requirements, manage complaints and disputes, prevent or investigate fraud or damage, protect safety and security, maintain business records, comply with legal obligations, establish or defend legal claims, operate and secure our website, and send marketing where lawfully permitted.
5.Our Lawful Bases
Depending upon the circumstances, we may process personal information because it is necessary for a contract, required by law, necessary for our legitimate interests, or based on consent where consent is required. Legitimate interests may include operating and protecting the guest house, protecting guests and property, preventing fraud, maintaining records, managing disputes and improving services.
6.Special Category Information
Occasionally a guest may voluntarily provide information concerning health, disability, dietary requirements or other particularly sensitive matters, for example when requesting an accessibility adjustment. Where such information constitutes special category personal data, we will only process it where there is an appropriate lawful basis and additional legal condition for doing so.
7.Payment Information
Payments may be processed through third-party payment processors, booking platforms, banks or reservation systems. Atlanta Guest House does not necessarily receive or retain complete payment-card details where payment is securely handled by another provider.
8.Booking Platforms and Service Providers
We may use online travel agents, booking and property-management systems, website and booking-engine providers, payment processors, communications providers, IT and hosting providers, accountants, professional advisers, insurers and contractors. Information is disclosed only where reasonably necessary for the relevant service, contractual arrangement, legal requirement or legitimate business purpose.
9.Disclosure to Authorities and Other Organisations
We may disclose personal information where reasonably necessary to comply with law, respond to a valid legal requirement, assist police or emergency services, comply with court or tribunal requirements, deal with insurers or professional advisers, prevent or investigate crime or fraud, or establish, exercise or defend legal claims. We do not sell guest personal information.
10.CCTV
CCTV may operate in appropriate external and communal areas at Atlanta Guest House for safety, security, crime-prevention and property-protection purposes. More information is available in our separate CCTV Policy.
11.Website and Cookies
Our website may use cookies and similar technologies for operation, security, booking functionality, user preferences and website measurement. Please see our separate Cookie Policy. Cookie Policy
12.Marketing
We will only send electronic direct marketing where we have an appropriate lawful basis and where applicable electronic-marketing rules are satisfied. Marketing communications will provide a means of opting out.
13.International Transfers
Some organisations providing booking, technology, hosting, payment or communications services may process personal information outside the United Kingdom. Where required, an appropriate lawful transfer mechanism or safeguard will apply.
14.How Long We Keep Information
We do not intend to keep personal information indefinitely. Retention periods depend upon why the information was collected, contractual requirements, accounting and tax obligations, insurance requirements, limitation periods, security requirements and whether an ongoing dispute, complaint or investigation exists. CCTV footage is retained only for the period reasonably necessary for its security purpose, subject to longer retention where required for a particular incident or claim.
15.Keeping Information Secure
We take reasonable organisational and technical measures to protect personal information against unauthorised access, accidental loss, alteration, disclosure and destruction.
16.Your Data-Protection Rights
Depending upon the circumstances, you may have rights to access, correct, erase, restrict or object to processing, receive certain information in a portable format, and withdraw consent where consent is the lawful basis. These rights are subject to conditions and exemptions under data-protection law.
17.CCTV Access Requests
An identifiable image of you captured by CCTV may constitute your personal information. You may therefore have the right to request access to footage containing your image. We may need proof of identity and reasonable details enabling us to locate the relevant footage.
18.Children
We do not intentionally use children's personal information for unrelated marketing or profiling purposes. Where information relating to children is necessary for a family reservation, safety, accommodation or legal purpose, we will handle it appropriately.
19.Complaints About Personal Information
Please contact us first if you have concerns regarding how your personal information has been handled. You also have the right to raise a complaint with the Information Commissioner's Office (ICO), the UK's independent data-protection regulator.
